Grounds Maintenance Co-Ordinator

We currently have an exciting opportunity available for a Grounds Maintenance Co-Ordinator to join our growing team based in Loughton, Essex.
The purpose of the role:
To support the operations teams in delivering a high-quality service to our customers. To provide highly organised and efficient administration support to the Grounds Maintenance team. Proactively engage with colleagues and partners to co-ordinate and schedule the grounds and gardening service within the district.
Remuneration:
The salary: The ideal candidate will join us on a full-time basis in return for a salary of £26,000 per annum.

Your key responsibilities will include:
Use our ICT systems on Total Mobile- Connect and Confirm to plan and schedule works via our across the district.
Act as key point of contact to our clients and provide high level of communication regarding grounds maintenance service delivery.
Liaise with suppliers to ensure materials are available and ordered for the team in a timely manner.
Work alongside the Supervisors and Operations Manager to consider new ways of working which allows greater efficiencies.
To support the team to ensure that operational ICT systems are updated in a timely manner with all works recorded, completed/ closed and costed to enable accurate financial and performance reports.
Ensure enquiry responses, complaints and all communication is managed and responded to on time and in line with our procedures.
To represent us professionally in meetings and forums.
Book in and manage the voluntary gardening service.
To provide aftercare to customers receiving the voluntary gardening service.
To undertake flexible working patterns as required to provide effective, customer-focussed services.
To provide cover in terms of administration and general cover on the phones as required.

Required knowledge and skills:
Education
- Knowledge of basic IT skills such as answering emails and use of android mobile phones.
- Relevant qualification or equivalent working experience.
Experience
- Previous experience of working in a maintenance related environment and planning of works.
- Experience of Grounds maintenance is preferable.
- Use of systems such as Connect and or Confirm to manage bookings.
- Experience of overcoming challenges and finding solutions.
- Worked with clients, contractors and in-house teams and develops strong working relationships.
Knowledge & Skills
- General grounds maintenance knowledge
- Knowledge of social housing and the external environment.
- Good communication and social skills with a strong customer focus.
- Drive and ability to prioritise works deadlines to ensure efficiencies.
- To maintain an effective and professional approach at all times.
- Work with colleagues, other staff, customers and partners to provide efficient and effective services.
- Provide advice and guidance to customers.
- Manage and prioritise own workload to take account of conflicting and changing demands and to meet established deadlines.
- Good knowledge of ICT systems, including software packages such as MS Office, in particular Excel.
